Log Assessments

Use Fund Manager to log assessments for learners.

Log assessments as follows:

  1. On ebs: ontrack Hub, go to Fund Manager > Assessments and then select Log an assessment.

  2. Select the Funding year, such as 32 (2025 - 2026) and the Fund type, such as Bursary.

  3. Complete the Assessment details section as defined in the table Assessment details.

    Assessment type

    The type of assessment such as Initial, Physical, and so on.

    Assessment status

    The status of the assessment such as Pending, External, and so on.

    Assessment date

    The date of the assessment such as 30/3/2025.

    Assessment coordinator

    The staff member coordinating the assessment for the learner.

    Assessment cost

    The cost of the assessment such as £375.00.

    Reclaimable

    Whether the assessment cost can be reclaimed.

    Review date

    The date that the assessment must be reviewed, such as 30/3/2026.

  4. Search for the learners using the search options. For example, to find learners by First name, Surname, or Person code. Note that you can also select Show filter options to use additional criteria, such as Date of birth, Age, Course code, and so on. After applying the relevant search options, select Search and display results.

  5. You can then Select all the learners found or select individual learners. Then, select Continue.

  6. Select Continue to review the selections and if necessary, update the selections. Then, you can Confirm and assign the learners to the fund.

  7. After logging the assessment you can then manage the assessment by selecting the vertical ellipses and take the following actions:

    • View or edit assessment

    • Delete assessment

    You can manage multiple assessments on the grid by selecting Enable editable grid. For example, to change the assessment coordinator for multiple learners.
